EARMA seeks EU projects intern

We are looking for an enthusiastic candidate to join our team as a EU projects trainee. You will become part of a small office in Brussels/Leuven (Belgium). This is a hybrid position so you must have a space where you can work in a professional manner with minimal noise interference and a stable internet connection. EARMA will provide the IT equipment needed for the internship.

About EARMA
EARMA is the European Association of Research Managers and Administrators and represents the community of research management professionals in Europe. Our members ensure the smooth running of research projects by providing administrative support. We are a non-profit organisation under Belgian law with a legal address in Brussels but a factual address in Leuven. Our members are mainly academic institutions, universities and research performing organisations. We organise an annual conference with 1000+ attendees, deliver projects funded by the European Commission, offer a research management training programme and provide additional opportunities for our community to share best practice. We have approximately 170 institutional members (organisations) and 200 individual members. EARMA has existed for 25 years and has a strong reputation in the Brussels R&I space.

Job description
The EU Projects Trainee will be part of the EARMA Executive Office. The selected candidate will report directly to the EARMA Head of EU Projects.

The EARMA Executive Office operates under the leadership of the EARMA Managing Director. The person will work in a 3-4 person team within the 14 person EARMA Office. The ideal start date is September 2023.

Location of employment: EARMA office in Leuven (Martelaerenplein 20E) with a possibility to combine with working from home (2-3 days per week). EARMA is considering moving the office to Brussels and the selected person must be willing both to work in Leuven and Brussels depending on the choice of office. The trainee will not be able to choose a location, there will be only one office.

Responsibilities
Support a portfolio of three Horizon Europe CSA Projects and possibly other projects in the future:

  • ‘Creating framework conditions for research management to strengthen the European Research Area (RM RODMAP). The project started in September 2022 with EARMA in the role of project coordinator. More information here.
  • ‘Improving Research Ethics Expertise and Competences to Ensure Reliability and Trust in Science’ (iRECS). The project started in October 2022 with EARMA in the role of project partner. More information here.
  • ‘Piloting open and responsible Activities and Trainings Towards the Enhancement of Researchers Networks (PATTERN). The project started in January 2023 with EARMA in the role of project partner. More information here.
     

 

  • Engage with the EARMA thematic group on Ethics and Research Integrity (ERION) based on the needs of the running projects: https://earma.org/erion/
  • Report internally on the Horizon projects and make any connections with the EARMA community needed (e.g. EARMA committees, thematic groups etc.)
  • Keep accurate time records of your work, write meeting minutes and produce the deliverables required
  • Liaise with relevant partners and stakeholders
  • Facilitate, organize and coordinate events and workshops
  • Produce high-quality analysis and synthesis documents and/or reports
  • Prepare surveys and polls
  • Any unforeseen tasks arising from the needs of the projects/EARMA office


Desired profile

  • Excellent communication skills in English
  • Excellent IT skills, including in standard office software and in database management and online communication tools (Zoom, MS Teams)
  • Experience in working in a team and with communities and multiple stakeholders
  • Experience with multiple deadlines, planning skills and ability to prioritise on multiple tasks
  • Excellent soft skills/people skills. Enjoys meetings and working in an international environment with different work cultures
  • Talent for organisation and eye for detail
  • Able to work independently, takes ownership of the assigned tasks and brings them forward with a solution-oriented mindset

Compensation
Eligibility for ERASMUS+ funding is a plus. We will top up the ERASMUS+ funding received to reach a combined total of benefits of 1,000 Euros net per month.
